Associate Executive Director

Location: Wilmette, IL 60091

Job Description:

The Associate Executive Director will be an authentic, strategic, and inspiring individual who will deploy diverse skills to serve a pivotal role in meeting the needs of congregation members, clergy, staff and the board. Reporting to, and collaborating with, the Executive Director, the position will provide service across every congregant touch point, and include these roles and responsibilities:

  • Financial operations, including accounts receivable, accounts payable, membership and enrollments, monthly financial reporting and analysis;
  • Strategic and tactical membership engagement efforts
    o Oversight of marketing/public relations plan
    o Member renewal and new member attraction initiatives
    o Community and Jewish organization partnership development
  • Support and direction for fundraising projects, planning, and development activities, events and High Holy Day reservations
  • Adjunct role in administration and management of payroll, yahrzeits, b’nai mitzvah schedules, certificates and gifts; plus, coordination of schedules for Shabbat, b’nai mitzvah and High Holy Days ushers
  • Participate in staff/planning meetings and board meetings
  • Ensure quality across Sukkat Shalom’s CRM system to facilitate and further internal information flow.
  • Assist with reimbursements and expenses and collaborate with the Executive Director and outside bookkeeping consultant to gain knowledge of bank reconciliations, payroll tax and state and Federal filings.
  • Assist in the preparation of audit materials for outside accounting firm, plus preparing and sending out annual congregant tax letters.
  • Maintain office equipment and supplies maintenance; oversight of building maintenance tasks and vendors; assist in the supervision of part-time reception help and part-time events staff.
  • Familiarity with events vendors and security staff, implementing and overseeing select events as needed.
  • Backup for the Executive Director as needed.

This is a full-time position where the Associate Director is expected to assume ascending levels of responsibility and skills over time.

The position requires exceptional organizational and project management skills, superb interpersonal and communications skills, and a love of high-touch customer service. A superior level of productivity is essential to stay atop the many and diverse details of the role, along with independence, initiative, creativity and the ability to learn new skills, systems and disciplines. Skills in MS Office and Google Apps are required, with additional experience working in web management platforms (like Shulcloud), design programs, CRM, and email campaign programs a plus.

Qualifications

  • Bachelor’s Degree required, Master’s Degree welcome
  • 4-plus years’ experience in a nonprofit organization or similar experience, Jewish organization a plus
  • Outstanding interpersonal and collaborative skills, positive and outgoing personality, proactive.
  • Strong marketing and/or financial management, systems, problem-solving and communication skills.
  • Excellent computer skills, budgeting, operations and execution experience. Proficiency with Microsoft Office, Constant Contact, Quickbooks (or other financial software package), and familiarity with ShulCloud or another enterprise management system preferred.
  • Visual creativity and design sense highly valued
